A clean logo file is only the starting point. Patch artwork must also work at the finished size, in the chosen construction, and with the physical limits of thread, weaving, molding, or printing.

Judge the artwork at its finished size

The most common artwork mistake happens before production begins: a design is reviewed while enlarged on a monitor instead of at the dimensions of the actual patch.

A thin gap that looks generous at 400 percent zoom may nearly disappear when the patch is two inches wide. Compact lettering, narrow outlines, and tiny counters inside letters face the same problem.

Start by setting the exact width and height. Print the artwork at 100 percent scale or view it on screen with a physical ruler nearby.

Ask which elements still communicate the identity when the design is no larger than the final product. If a small texture, tagline, or shadow cannot be recognized at that size, production cannot make it useful simply by reproducing it more precisely.

Practical rule: design for recognition before detail. Preserve the shapes, wording, and color relationships people need to identify the brand. Decorative detail comes after those essentials remain clear.

Vector artwork, raster images, and what each file tells us

Vector files describe artwork with editable paths, shapes, strokes, and fills. They can be resized without introducing pixelation, which makes them useful for cleaning outlines, adjusting spacing, separating colors, and preparing production-specific versions. Common vector formats include AI, EPS, SVG, and vector-based PDF files.

Raster files are made from pixels. JPG, PNG, TIFF, and many PSD files fall into this category. A raster image can still be a useful reference when it is sharp, front-facing, and large enough to show the intended details. The problem is not the filename by itself; it is whether the image contains reliable visual information. A tiny screenshot cannot reveal the original edge shapes or letter spacing simply because it is saved as a PNG.

Simplify without losing the identity

Production-ready simplification is selective. It does not mean turning every logo into a generic icon. It means removing or combining elements that do not contribute at the finished size while protecting the details that make the design recognizable.

Keep the silhouette

The outer shape and major internal divisions often carry recognition from a distance.

Protect readable wording

Enlarge, respell, or rearrange text before accepting lettering that will merge.

Combine insignificant gaps

Very narrow negative spaces may close in thread or molding and can be widened deliberately.

Replace soft effects

Blur, glow, transparency, and subtle shadows usually need solid shapes, fewer tones, or another process.

Work from a duplicate of the master logo rather than overwriting it. Keep one original brand file and create a separate patch-production version. This makes it possible to simplify a tiny sleeve patch without weakening the artwork used for signs, packaging, or larger merchandise.

Make text, outlines, and negative space production-friendly

Text

Small lettering fails when strokes are too thin, counters are too tight, or letters sit too close together. Bold open letterforms usually reproduce more reliably than condensed fonts with delicate serifs. Do not add a heavy outline around every word automatically; an outline can consume the space the letters need. Test the complete word at the finished size.

Convert final text to outlines in the production copy so the shapes do not depend on the supplier having the same font. Keep a separate editable version with live text and record the typeface name for future revisions.

Lines and borders

A line has to become thread, woven structure, molded material, or printed pixels. Each process has different practical limits, so do not rely on a universal minimum copied from another project. Keep critical lines visibly substantial in relation to the patch size, and ask the producer to flag elements that require thickening.

Plan an intentional outer border. A merrowed border produces a familiar wrapped edge but suits regular shapes more readily. A heat-cut or laser-cut edge can follow more intricate outlines. The border decision affects the visible artwork area, so it should be included before the final size is approved.

Plan color for physical materials—not only screens

Screen colors are created by emitted light. Thread, fabric, PVC, and printed material reflect light, so an on-screen match is not a guarantee of an identical physical result. Thread sheen and stitch direction can make the same color appear lighter or darker as the patch moves. Molded PVC presents color differently from textile material.

  • Use solid, clearly separated color areas whenever the construction requires them.
  • Supply Pantone or other recognized brand references when color matching is important.
  • Keep contrast high enough for small text and borders to remain distinct.
  • Identify which colors are essential and which may be matched to the nearest available material.
  • Review the production proof for color assignments, but use a physical sample when material appearance is critical.

Gradients require special discussion. Sublimated or printed patches can reproduce continuous tonal changes more directly. Embroidered, woven, and PVC designs usually translate a gradient into bands, fewer solid colors, stitch effects, or simplified shapes.

Prepare the art for the chosen patch construction

Embroidered patches

Artwork for embroidery should anticipate thread width, stitch direction, underlay, density, sequence, and fabric movement. The visual file guides the result, but it is not the machine file. Woven patches

Woven construction can support finer textile detail than standard embroidery, but it still benefits from clean paths, controlled color areas, legible text, and deliberate borders. Remove unnecessary effects that cannot be expressed by interlaced thread.

PVC patches

PVC artwork should clearly label raised and recessed levels. Use solid shapes and practical separations between small areas. Decide whether lines are physical ridges, recessed channels, or printed details if the manufacturer supports a combined method.

Printed or sublimated patches

Printed processes can retain photographic and gradient detail, but the source still needs adequate resolution, correct dimensions, controlled color, and space for the finished edge. A high-detail process does not repair a blurred original.

A seven-step pre-production artwork checklist

  1. Confirm the finished dimensions. Record width and height and review the design at 100 percent scale.
  2. Choose the construction. Decide whether the priority is raised embroidery, fine woven detail, molded PVC, or printed color.
  3. Clean the master shapes. Remove accidental points, overlapping duplicates, stray pixels, and inconsistent curves.
  4. Test text and negative space. Enlarge weak wording, open tight counters, and widen gaps that carry meaning.
  5. Define colors and border. Label brand references, intended material colors, and the finished edge method.
  6. Prepare the submission package. Include the best source file, a preview image, dimensions, quantity, product type, backing, placement, and deadline.
  7. Review the proof as production art. Check spelling, proportions, color assignments, levels or stitch areas, border, backing, and size before approving.

Frequently asked questions

Do I need a vector file to order custom patches?

A true vector file is preferred because it supports clean editing and scaling, but a sharp high-resolution raster reference may be usable. If the source is poor, vector reconstruction may be needed before production.

Can I send a screenshot of my logo?

Send it if it is the best reference available, but also look for the original design file, a print-ready PDF, or a larger image. Screenshots often hide edge and spacing information.

Why does my logo need to be simplified?

The finished patch has physical limits that a large screen preview does not. Simplification protects recognition by removing details that would merge, fill, or disappear at production size.

Can patches reproduce gradients?

Printed and sublimated methods are generally more suitable for smooth tonal changes. Thread or molded constructions may approximate gradients with solid bands, selected colors, or texture, depending on the design.

Is a PDF always vector artwork?

No. A PDF can contain editable vector paths, raster images, or both. Zoom in closely and ask the designer or supplier to confirm what is embedded.

What should I check on the proof?

Check spelling, dimensions, proportions, color labels, border, backing, placement of small details, and any stitch directions or PVC levels shown. A proof is the last place to correct interpretation before production.
